Dubai Municipality adopts new systems for document management and electronic correspondence

Dubai Municipality (DM) has announced the implementation of two new systems – Enterprise Document Management System (EDMS) and Electronic Correspondence & Follow Up (EC & FU) - that will further enable the digitalisation of paper documents, facilitate electronic approval and also ensure exchange of electronic correspondence.

The announcement regarding the new systems, which is being implemented in association with IBM and Etisalat, was made during Dubai Municipality’s participation at Gitex 2006. A detailed presentation on the two new systems was also made at the DM stand by Yousif Shams, Head of System Development at the IT Department of Dubai Municipality, along with Abdul Hakim Malik, Director of IT Department DM, Essa Al Haddad, Executive Manager of Marketing at Etisalat, and Mohammed Shehada, representative from IBM.

DMES will help acquire a highly secured and powerful Enterprise Document Management System to support DM’s internal and external business processes by creating a single document repository solution. It also facilitates the introduction and use of digital signature and digital certificate from Etisalat, while also ensuring the archiving, indexing and control of inbound and outbound email messages similar to other electronic documents.

“The IT Department of Dubai Municipality is committed to take strategic steps that will ensure greater operational efficiency. The adoption of these new systems will complement our ‘paperless’ initiative while also automating and accelerating business processes, boosting efficiency and resulting in cost savings,” said Malik.

The Electronic Correspondence and Follow Up system targets the automation of electronic correspondence in all DM organisational entities and provides a unified system through which follow-up capabilities can be provided on tasks allocated. The system can be used by DM employees to sort incoming external and internal correspondence and develop auto-routine tasks to respond to these correspondences.

“The EC & FU system provides flexible functionalities to manage, review and store DM’s outgoing and incoming internal and external correspondence. It supports dynamic work-flow creation based on the incoming correspondence for powerful tracking features,” explained Yousif Shams.
